IntePros is seeking a highly organized, detail-oriented Project Coordinator to support travel logistics, operational projects, and administrative activities for our global biopharmaceutical client. This position requires a proactive, self-directed professional who can independently manage multiple priorities, coordinate complex travel arrangements, and provide reliable support to internal teams and stakeholders.
The ideal candidate will bring strong organizational, communication, and problem-solving skills, along with the ability to manage high-volume travel coordination, track project activities, and ensure operational tasks are completed accurately and efficiently. This assignment supports an immediate business need while offering the potential for long-term career opportunities within the organization.
This position requires daily onsite attendance in Boca Raton, FL. Remote and hybrid arrangements are not available.
Responsibilities
• Coordinate and manage employee travel arrangements, including flights, hotels, rental vehicles, itineraries, and last-minute changes.
• Serve as the primary point of contact for travelers, proactively communicating travel details, updates, and changes.
• Process, track, and reconcile employee per diem payments, travel expenses, and related costs.
• Support operational projects by maintaining accurate documentation, tracking deliverables, and monitoring timelines.
• Identify potential project delays, issues, or risks and escalate concerns to appropriate stakeholders.
• Gather, organize, and consolidate information from multiple sources to prepare reports, project updates, and operational materials.
• Coordinate meetings, prepare agendas, distribute materials, document meeting notes, and track action items.
• Provide administrative and project coordination support to operational leaders and cross-functional teams.
• Track travel expenses, project costs, and operational metrics while maintaining accurate records.
• Collaborate with internal stakeholders to ensure effective communication and timely completion of assigned activities.
• Manage competing priorities and deadlines while maintaining a high level of accuracy, responsiveness, and attention to detail.
Required Qualifications
• Associate degree or High School Diploma/GED with at least 2 years of relevant experience.
• Minimum of 4 years of professional experience in project coordination, travel coordination, operations support, administrative support, or a related function.
• Hands-on experience coordinating employee travel arrangements and managing associated logistics.
• Demonstrated ability to work independently, take ownership of responsibilities, and manage tasks with minimal supervision.
• Strong organizational, multitasking, and time-management skills.
• Excellent written and verbal communication skills, with the ability to interact effectively with stakeholders at all organizational levels.
• Proficiency in Microsoft Office Suite, including Excel, Outlook, Word, and Teams.
• Experience navigating multiple systems, databases, and operational processes simultaneously.
• Strong attention to detail, problem-solving abilities, and customer-service orientation.
• Ability to prioritize multiple assignments while consistently meeting deadlines.
Preferred Qualifications
• Bachelor's degree in Business Administration, Operations, Project Management, or a related field.
• Experience supporting operational teams, field-based employees, or multi-site organizations.
• Experience tracking project budgets, operational expenses, and performance metrics.
• Familiarity with processing travel expenses, employee reimbursements, or per diem payments.
• Previous experience in pharmaceutical, biotechnology, healthcare, manufacturing, life sciences, or another regulated industry.
Ideal Candidate Profile
The successful candidate will be dependable, resourceful, and comfortable taking initiative without constant direction. They will demonstrate strong accountability, proactive communication, and the ability to balance travel coordination with broader operational and project responsibilities.
This role is best suited for individuals with backgrounds in project coordination, travel coordination, operations support, or administrative coordination , rather than traditional Executive Assistant positions focused primarily on executive calendar management and scheduling.
Candidates should be prepared to demonstrate experience independently managing travel logistics, coordinating multiple stakeholders, maintaining accurate records, and delivering consistent results in a fast-paced environment.
