Job description

At Colibri Group, culture is at the heart of everything we do. Our values Love, Joy, Boldness, Teamwork, and Curiosity guide how we work together, support our customers, and make a difference in the communities we serve. Colibri Group is a leader in online professional education, serving more than one million learners each year across a family of trusted education brands. Our Teacher Education Ecosystem supports educators, school leaders, and partners through professional learning and meaningful experiences. Come Build What’s Next We’re looking for a Marketing & Events Coordinator to turn event plans into seamless, well-organized experiences for educators, school leaders, partners, and colleagues. This is an individual-contributor role focused primarily on hands-on event coordination, with additional ownership of defined marketing projects. You will help plan and execute in-person conferences, school and partner visits, webinars, information sessions, and other events from timelines and vendors to registration, materials, on-site logistics, and post-event handoffs. You should enjoy the behind-the-scenes work of making events happen: asking the next question, spotting what is missing, keeping people informed, and solving logistical problems before they affect an event. Strong event-coordination experience matters more here than familiarity with the education industry. What You’ll Do Coordinate event execution from planning through follow-up: schedules, registration, vendors, conference booths, travel, shipping, event materials, run-of-show details, and lead handoffs Serve as a hands-on operational contact for assigned in-person conferences and events; coordinate with internal partners and external vendors, and provide on-site support when needed Support different event sizes and formats, including up to approximately three large B2B conferences annually, approximately five to seven school/partner visits, and recurring virtual events (generally one to two per month, in a supporting role) Build practical event playbooks, checklists, timelines, and repeatable processes; flag missing details, dependencies, and risks early Track event supplies, branded materials, inventory, vendor orders, expenses, invoices, and logistics so everything arrives where and when it is needed Coordinate assigned marketing and cross-functional projects in ClickUp or similar tools, keep ownership and deadlines visible, and support light marketing communications, editing, or quality checks as needed. What You’ll Bring Approximately 1–3 years of relevant experience in event coordination, marketing operations, project coordination, or a related field. Relevant internships and comparable hands-on experience are welcome Direct involvement coordinating actual events, such as conferences, trade shows, webinars, school events, or partner experiences not simply attending them or promoting them Experience managing multiple moving pieces: timelines, vendors or stakeholders, registration, supplies, schedules, and last-minute changes Strong written and verbal communication, dependable follow-through, attention to detail, and confidence working across teams Comfort using project-management tools to track tasks and deadlines, or the ability to learn new systems quickly Helpful, but not required: experience in education or EdTech; familiarity with ClickUp, Asana, or Monday.com; and a bachelor’s degree in a related discipline. Travel Requirements: This is a remote position requiring up to 15 - 20% domestic travel to support national conferences, partner events, and occasional office visits. Travel will vary throughout the year, with periodic visits to our Washington, D.C. office (approximately 1–2 times annually). Tools, Platforms, and Methodologies You May Use Experience with every platform below is not required. What matters most is how you organize work, coordinate people, and carry events through execution. ClickUp or other project-management platforms (such as Asana or Monday.com) Event registration, webinar, scheduling, and lead-capture tools Shared event calendars, checklists, run-of-show documents, and vendor trackers Standard collaboration, documentation, and productivity tools What This Role Is Not Not a personal assistant or an administrative catch-all for Marketing, Sales, or individual leaders Not primarily a social-media, creative-content, or campaign-strategy position Not a role focused only on planning ideas: it requires real follow-through on logistics and event execution Not 100% large, in-person events; the role also supports virtual events and selected marketing projects Why You’ll Love Working Here See the impact of your work in well-run experiences for educators, school leaders, alumni, and partners Gain ownership of meaningful event operations while building repeatable processes that make the team more effective Partner across Marketing, Sales, Academics, and other teams, with a mix of independent coordination and shared execution Join a mission-driven organization where your organization, initiative, and judgment make a visible difference We Encourage You to Apply You may not check every preferred box, and that is okay! We welcome applicants from corporate or nonprofit events, professional associations, school/program events, conferences, hospitality-related event operations, and similar hands-on coordination backgrounds. However, this role does require concrete event-coordination experience, strong ownership of details, and willingness to travel. If your recent work has been focused exclusively on social media, content creation, or marketing strategy without coordinating event execution, this may not be the right opportunity. If you enjoy turning “we should host an event” into a clear plan and a well-executed experience, we would love to hear from you. What You Can Expect From Our Hiring Process We want our interview process to give you a clear picture of the role, the team, and what it’s like to work at Colibri while giving us the opportunity to understand your experience and approach. We do not use AI to review applications; a person on our Talent Acquisition team reviews them. The exact process may vary slightly by role, but generally includes: Recruiter conversation — an introduction to your experience, goals, the opportunity, and compensation Hiring manager conversation — a deeper discussion of your event-coordination experience and how you approach the work Team and/or cross-functional conversations — opportunities to meet colleagues and partners who collaborate on events Final conversation and decision — when applicable, a final discussion with another stakeholder or leader Job application deadline: October 27, 2026 We aim to make this experience thoughtful, respectful, and transparent. We encourage you to ask questions throughout the process. Our Commitment to Inclusion Colibri Group is an Equal Opportunity Employer. We celebrate diversity and are committed to creating an inclusive environment where everyone feels welcome, respected, and empowered to do their best work. We encourage qualified candidates from all backgrounds, experiences, and career paths to apply.
